Parent Participation during our swim season is required in order to have a successful season.  

 
YOUR PARTICIPATION IS CRITICAL!
 

**        In order to run a swim meet, it takes many people doing various jobs.  Parent volunteers are used, in order to keep your cost of being on swim team to a minimum.  To insure that every family does their fair share, we require a “Parent Participation Fee,” or “PPF” check of $125 per family.  If your family completes the required number of shifts, which this year will be 6; your check is returned at the end of the season.  Your check will be cashed should you choose not to participate.

 

**        The length of the PPF shifts are two and a half hours long; these are needed at home and away meets.  We will have a minimum of three (3) standard home meets and two (2) away meets.  In addition to the standard meets, if your child participates in a specialty meet, you will be asked to work PPFs at those meets as well, which will count towards your required shifts.  Specialty meets include the Ken Caryl Invitational, the Pentathlon, Odd Events, the A/B Meet or C/D meet.  There are some requirements for this change you are required that 2 of your PPF’s must be home meets due to the fact that there is where we need the most help.

 
**        Other opportunities may be available for PPFs on the request of the Board.  They will be posted and it will be stated that they will count as PPF shifts.
 

**        PPF sign up sheets will be posted on the bulletin board by Monday morning each week.  The times available will be 7:00 – 9:00am, 9:00-11:00am and 11:00 to end of meet (which is usually between 12 or 1:00pm).  However, Ribbon Table will be 2 shifts with times available at 8:00am-10:00 and 10:00am to end (which is usually between 12-1:00pm).  
 

**        For the home meets we will need help with timing, heating, concessions, data entry and ribbons.  For away meets we will need help with timing and officiating.  There will also be a separate Set-up/Clean-up shifts for those people wanting to help set up prior to the home meet and clean-up afterwards.  All areas are easy to learn and a quick run through of what is expected will be given to you.

 

**        Every family who attends the home meets must work at least one shift.  We want to work with you.  If you are signed up for either a home or away meet and cannot make it, you are responsible for finding yourself a replacement, or taking your name off the sheet prior to Friday.  We will have a list of parents and phone numbers for you to use if you cannot attend.

DATA ENTRY

Data entry is a simple task that does not require any training.  We need people to average the scores and check the data after it is printed to confirm that the right times were entered.  The shifts are worked indoors, out of the sun and in the air conditioning.  We keep track of the events so that you can watch your child’s events as they come up.  You get the best of both worlds.  You can cheer while enjoying the benefit of air conditioning during your shift!  Elizabeth French directs the efforts with data entry.

HEATING

Just before the meet begins, heating volunteers collect event cards from meet participants. We group cards together by event number. The swimmer's best time for the event is noted on the card. Heats are created by grouping swimmers of similar ability as outlined in the Bylaws of the Colorado State Summer Club Swimming Association. In order for the meet to proceed as expeditiously as possible, volunteers decide when to combine heats by gender and age. We update the board that lets swimmers know when they are to arrive for their event. Upon arrival, we organize swimmers into heats and redistribute their cards to them. Sometimes cards are turned in late; volunteers revise heats to accommodate late entrants. The job is hectic at the beginning of the meet, but the work is generally over mid-way through the meet. Good customer service skills are required.  Marilyn Piper and Matt Dietzler are usually available to direct the efforts with heating.
 
 
RIBBON TABLE

Put sticker on appropriate ribbon for swimmers in each event as soon as data entry give us the stickers.

Announce top 3 swimmers for each event (microphone) from results sheet (from data entry).Hang up results sheets on board.File Columbine Knolls ribbons into swimmer's file in ribbon boxes.It works best if the shifts are 8-10 and 10-end of meet because there are very few stickers generated between 7-8, but the 10-end shift is the busiest and volunteers need to stay until all stickers are done. Dawn Peters usually hangs around the table for the majority of the meet and help with the duties.
TIMING

If you sign up for the first shift of timing you will be asked to attend a brief timer's meeting ten to fifteen minutes before the meet starts.  You will be assigned a lane and be given a stop watch. There will be three timers per lane, one of whom will need to record the swimmer's times on their heating card. Verify that the name on the card is that of the actual swimmer, this is especially helpful with the 8 and unders. The cards will be picked up after each race by a runner.
Second shift timers need to relieve first shift timers at the appointed time. You will already have a lane assigned when you sign up or the timing coordinator will let you know which lane needs to be covered. After the last swimmer has finished his/her race for your lane you are free to leave.  Third shift timers need to relieve second shift timers at the appointed time. You will already have a lane assigned when you sign up or the timing coordinator will let you know which lane needs to be covered. After the last swimmer has finished his/her race for your lane you are free to leave. Make sure that you return the watch to the timing coordinator and know that your assistance has been greatly appreciated.  Christine Campbell is usually available to direct efforts and answer questions.
